Household Permissions

Learn how to manage permissions and share your inventory with family members. ItemizePro makes it easy to collaborate with your household on managing your assets while maintaining control over who can access and modify your inventory.

Overview

Household permissions allow you to:

  • Share your inventory with family members
  • Control what each person can see and do
  • Collaborate on adding and organizing items
  • Maintain security and privacy of your data

Setting Up Household Members

Inviting Family Members

  1. Open Settings: Navigate to Settings > Household in your ItemizePro app
  2. Add Member: Tap "Invite Member" or the "+" button
  3. Enter Details:
    • Enter the email address of the family member
    • Add their name (optional but recommended)
  4. Set Permission Level: Choose the appropriate access level (see below)
  5. Send Invitation: Tap "Send Invite"

The invited member will receive an email with instructions to join your household inventory.

Accepting Invitations

When someone invites you to their household:

  1. Check your email for the invitation
  2. Click the "Accept Invitation" link
  3. Create an ItemizePro account if you don't have one
  4. You'll automatically be added to the household with the assigned permissions

Permission Levels

View Only Access

Best for: Extended family, temporary helpers, or anyone who needs to see your inventory but shouldn't make changes.

Permissions include:

  • Browse the complete inventory
  • View item details, photos, and receipts
  • Search and filter items
  • View categories and locations
  • Export reports (if enabled by admin)

Cannot:

  • Add, edit, or delete items
  • Change household settings
  • Invite other members
  • Access financial summaries

Editor Access

Best for: Spouse, adult children, or trusted family members who actively help manage the household.

Permissions include:

  • All View Only permissions
  • Add new items to the inventory
  • Edit existing item details
  • Upload photos and receipts
  • Delete items they added
  • Create and manage categories
  • Organize items by location/room

Cannot:

  • Change household settings
  • Invite or remove members
  • Modify other users' permissions
  • Access admin-only reports

Admin Access

Best for: Primary household managers who need full control over the inventory and member management.

Permissions include:

  • All Editor permissions
  • Invite and remove household members
  • Change permission levels for existing members
  • Modify household settings and preferences
  • Access all financial reports and summaries
  • Export complete inventory data
  • Manage subscription and billing (primary admin only)
  • Delete any items in the inventory

Quick Reference Guide

Choose View Only if:

  • Family member needs to see inventory for reference
  • Temporary access for insurance purposes
  • Guest or extended family member
  • Person shouldn't make any changes

Choose Editor if:

  • Spouse or partner who helps manage household
  • Adult child living at home
  • Trusted family member who adds items
  • Person who organizes and maintains inventory

Choose Admin if:

  • Primary household manager
  • Person responsible for family finances
  • Trusted individual who manages memberships
  • Backup administrator for emergencies

Managing Your Household

Viewing Current Members

  1. Go to Settings > Household
  2. View the list of all current members
  3. See each member's permission level and last activity
  4. Check pending invitations

Changing Permissions

To modify a member's access level:

  1. Go to Settings > Household
  2. Find the member in the list
  3. Tap on their name or the settings icon
  4. Select the new permission level
  5. Confirm the change

Note: Permission changes take effect immediately, but the member may need to refresh their app.

Removing Members

To remove someone from your household:

  1. Go to Settings > Household
  2. Find the member you want to remove
  3. Tap the remove/delete icon (usually a trash can or X)
  4. Confirm the removal

Important: Removed members will lose access to your inventory immediately and cannot rejoin without a new invitation.

Best Practices

Security Guidelines

  • Start conservatively: Begin with View Only access and upgrade as needed
  • Regular reviews: Check your household members quarterly
  • Admin access: Only grant to your most trusted family members
  • Remove promptly: Remove access for anyone who no longer needs it

Collaboration Tips

  • Clear communication: Let family members know their role and responsibilities
  • Consistent categories: Establish standard categories and naming conventions
  • Regular updates: Encourage active members to keep items current
  • Photo quality: Ensure all members understand photo requirements for insurance purposes

Family Organization

  • Primary admin: Designate one person as the main administrator
  • Backup admin: Have at least one other admin in case of emergencies
  • Task division: Assign different rooms or categories to different family members
  • Regular check-ins: Schedule periodic reviews of your inventory together

Troubleshooting

Common Issues

Can't see household members?

  • Verify you have Admin permissions
  • Check that invitations were accepted
  • Ensure you're logged into the correct account
  • Try refreshing the app or logging out and back in

Permission changes not taking effect?

  • Ask the member to close and reopen the app
  • Check your internet connection
  • Verify the change was saved properly
  • Contact support if issues persist

Invitation emails not received?

  • Check spam/junk folders
  • Verify the email address is correct
  • Try resending the invitation
  • Use a different email address if needed

Member can't access certain features?

  • Review their current permission level
  • Check if the feature requires higher permissions
  • Ensure they're using the latest app version
  • Verify their account is properly activated

Privacy and Security

Data Protection

  • All household members must agree to ItemizePro's privacy policy
  • Your inventory data is encrypted and secure
  • Members can only access data you explicitly share
  • Removed members cannot access your data after removal

Account Security

  • Each member needs their own ItemizePro account
  • Sharing login credentials is not recommended
  • Enable two-factor authentication for added security
  • Report any suspicious activity immediately
